A maintenance employee can collect the unit, issue, observed conditions, contact details, and access constraints. It should not diagnose the building, decide that a tenant is safe, label an emergency on its own, dispatch a contractor, or promise an arrival time.
Where the phone work piles up
- The after-hours call. Low- and high-urgency reports can sound similar, so the role needs careful intake and explicit escalation rules.
- The repeat caller. Without an acknowledgement and next step, tenants may try the same request across several channels.
- The morning pile. Voicemail leaves the property team to reconstruct unit, issue, access, and urgency from unstructured messages.
What belongs in the brief
Teach the property identity, approved intake questions, office contacts, and explicit escalation scripts. Keep rent, lease, account, and access decisions outside the maintenance role.
