Briefing the desk for the no-heat call.

By Eric Berg 路 Last updated August 2026

An HVAC front desk has to collect useful service details without pretending to be a technician. Weather surges make that distinction more important: the employee needs approved facts, clear escalation rules, and a hard ban on diagnosis, safety advice, and unapproved arrival promises.

Where the phone work piles up

  • The weather rush. A cold snap can concentrate many service inquiries into the same short window.
  • On the roof, in the attic. Install work can leave the same person responsible for tools and incoming calls.
  • After hours. A no-heat report needs accurate intake and an approved escalation path, without diagnosis or an invented arrival promise.

What belongs in the brief

Teach the company name, hours, service area, services, maintenance-plan facts, and the questions the owner actually needs answered. The employee can collect the requested timing and summarize the call for owner review. It should never diagnose a furnace, call a situation safe, or promise emergency dispatch. Those are owner decisions, not front-desk improvisation. See the exact product loop.

What it costs

Keeping a front-desk employee after the card-free audition is CA$149 per month, cancel anytime. The same number, approved brief, and everything taught by text stay with the employee.

Fair questions

Can the employee handle a cold-snap call surge?

The employee is designed to take concurrent front-desk work, but we do not promise that every call will always be answered. The audition is where you test the real line and its limits.

Can the employee tell an emergency from a maintenance call?

It can capture the caller's description and apply owner-written escalation rules. It cannot diagnose equipment, determine safety, or promise emergency response.

What does it cost against an office hire?

Keeping the employee after the card-free audition is CA$149 per month, cancel anytime. The same number, approved brief, and taught knowledge stay put.
